Privacy Policy
Last updated 2026-11-04
This policy explains what personal information Key Clinic collects on keyclinic.co.za, why, and your rights under the Protection of Personal Information Act (POPIA).
1. What we collect
- When you order or book: your name, phone/WhatsApp number, email address (if you give one), delivery address (for courier orders), vehicle details and any notes you add.
- When you pay: proof of payment you send us. If you pay by card, the payment provider handles your card details; we never receive them.
- Site statistics: we count visits with privacy-friendly analytics that does not use cookies and does not identify you.
- Your cart is saved in your own browser so it is still there when you come back. It is not sent to us until you place an order.
2. Why we use it
Only to process and deliver your order or booking, to contact you about it, to handle returns, refunds and warranty claims, and to keep the accounting records the law requires. We do not sell your information, and we do not add you to a marketing list unless you ask us to.
3. Who we share it with
- WhatsApp (Meta), which we use to confirm orders and talk to you, and the messaging services (WhatsApp and Telegram) that alert our staff to a new order or booking.
- The courier, if you choose delivery (name, phone and address only).
- The payment provider, if you pay by card.
- Our accountant and SARS, as required by tax law.
4. Where it is stored and for how long
Order records are kept in our business system, hosted on secure servers in Germany (European Union), which are protected by data-protection law at least as strong as POPIA. Access is limited to our staff. We keep order and payment records for 5 years, as tax law requires, and delete other details when they are no longer needed.
5. Your rights
You may ask to see the personal information we hold about you, ask us to correct or delete it, or object to how we use it. Contact our information officer (Jerome Martin): WhatsApp 073 295 7708, call 073 295 7708, or email info@keyclinic.co.za. If you are unhappy with our answer, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.
